Attachment file

An attachment file is any file that visitors download or open in an external application. Brightspot supports a broad range of formats including documents, spreadsheets, presentations, PDFs, images, audio, video, and archives — use this content type for any file format not covered by the more specialized Media Asset Library (MAL) content types.

Common examples include financial reports (.pdf), data exports (.csv), brand asset packages (.zip), audio recordings (.mp3), and other proprietary formats.

• Before beginning these steps, make sure you save the attachment on the drive you are working from, or obtain its URL from the internet.
• Brightspot provides specialized content types for common office formats. If your file is a word-processing document, spreadsheet, or slide deck, consider using Document, Spreadsheet, or Presentation instead — they restrict the upload field to the correct MIME types and support Google Drive and Microsoft OneDrive import workflows.

Creating attachment files

To add an attachment file:

1. In the header, click .
2. From the Create list, select Attachment File.
3. Using the following table as a reference, complete the fields as needed.
4. Complete your site's workflow and publish the attachment file.

After you publish your attachment file, you can use it in assets such as pages and sections. You can also add attachment files to text you compose in the rich-text editor.

Main

Field	Description
File	Do one of the following: - To upload an attachment file from your computer, select New Upload. Click Choose and navigate to the attachment file. - To link to a attachment file on the Internet, select New URL and paste the file's link.
Title	Enter a title for this asset. This title is visible to the visitors to your site.
Internal Name	In the Internal Name field, enter an internal name. Brightspot uses this name in selection fields.
Description	Enter a description that describes this asset. This description is visible to the visitors to your site.
Date Uploaded	Date indicating when you uploaded this asset's file.

Asset Access Management

Field	Description
Expiration Date	Set the date and time when this asset expires. After this date, Brightspot automatically hides the asset from site queries unless Discoverable After Expiration is enabled. Brightspot checks for newly expired assets approximately every 15 minutes by default; an administrator can change this interval in Sites & Settings > Global > CMS tab > Asset Management cluster > Global Expiration Update Frequency.
Discoverable After Expiration	Controls what happens to this asset when it reaches its expiration date. Off (default): Brightspot marks the asset as Expired (Hidden) — it is excluded from site queries and is no longer accessible to visitors. On: Brightspot does not apply the hidden status — the asset remains visible and discoverable on the site even after expiration.
Downloadable After Expiration	Toggle on to allow users to still download this asset after its expiration date.
License Type	Select an existing license type for this asset, or create a new one.

Promo Overrides

Field	Description
Promo Title	Enter text to override this asset's title when used in a promo. Brightspot automatically populates this field from data on the Main tab, and you can override this as needed by entering a new title.
Promo Description	Enter text to override this asset's description when used in a promo. Brightspot automatically populates this field from data on the Main tab, and you can override this as needed by entering a new description.
Promo Image	Image appearing in the asset's image when the asset is used as a promo. Brightspot automatically populates this field from data on the Main tab, and you can override this as needed by selecting a new image.
Promo File Size	Asset's file size as displayed in its promo.
Promo File Type	Asset's file type as displayed in its promo.

Extracted Data

Field	Description
Text	Text extracted from this asset.
Thumbnail	Thumbnail image for this asset.

Embedding attachment files

You can embed an attachment into the rich-text editor. The attachment can be downloaded directly from the asset on the site.

To embed an attachment:

1. From the rich-text editor's toolbar, select > Attachment.
2. Using the following table as a reference, complete the fields as needed.
3. Click Save & Close.

Field	Description
Attachment	Select Inline or Shared. See Inline vs. shared enhancements.
Item	Select Internal to search for an attachment. Select External to enter a URL.
Title	Enter a title.
Description	Describe the attachment.
Image	Search for or create an image to pair with this attachment.
File Size	Enter the attachment's file size.
File Type Display Name	Enter the name of the type of file you are using as the attachment (for example, .zip). The text you input here is added to the call to action button.
Call To Action Button Text	Enter the prompt to click the call to action button. This value is Download by default. This text is accompanied by the text you input into the File Type Display Name field. For example, if you retain Download in this field and have entered .zip in the File Type Display Name field, then the call to action button will read as Download .zip.

Download Promo Enhancement Styles

Setting	Description
Template	Select a style template for this enhancement.
Preset	Select a style preset for this enhancement.
Choose Enhancement Alignment	Select an alignment for this enhancement.
Choose a Background Color	Select a background color for this enhancement.
Use Text Colors	Select the color to use for text. Standard—Use the text color specified in the site's theme. Inverse—Use the inverse of the text color specified in the site's theme.
Image Aspect Ratio	Select an aspect ratio for the image used with this attachment.
Image Position Horizontal	Select the alignment of the image used with this attachment.
