How to configure automatic subscriptions
Procedure. To configure an automatic subscription:
  1. Click |mi-search|, and in the search field type Automatic User Subscriptions. A form appears.

    Configure role-level automatic subscriptions

    1. From the Navigation Menu, expand Admin, and select Users & Roles.

    2. Select the role for which you want to configure a subscription.

    3. Toward the right of the widget, click |mi-more_horiz| and select the Notifications widget.

    4. Under Automatic Subscriptions, click |mi-add_circle_outline|. An Automatic form appears.

    Configure global-level automatic subscriptions

    1. From the Navigation Menu, expand Admin, and select Sites & Settings.

    2. Click Global. The Edit Global widget appears.

    3. Under Main, expand Notifications.

    4. Under Automatic User Subscriptions, click |mi-add_circle_outline|. An Automatic User Subscription form appears.

  2. From the Subscription list, select the type of subscription you are configuring. (For a description of subscription types, see Subscriptions to topics.) A form appears.

  3. From the Delivery Options list, select one or more of the available delivery options. (For an explanation about configuring delivery options, see Delivery methods.)

  4. (Optional, for workflow and publication subscriptions) Under Content Filters, design a content filter that sends notifications. As a best practice, design a content filter that triggers as few notifications as possible for the users receiving the notifications.

  5. If you want to subscribe certain roles or editors, do the following (otherwise all editors are subscribed):

    1. Under Tool Entities, click |mi-add_circle_outline|. A selection field appears.

    2. Select the required editors and roles.

    3. Repeat steps a–b to add additional users and roles.

  6. Click Save.

How to configure shared subscriptions
Procedure. To create a shared subscription:
  1. Do one of the following:

    From your profile

    1. In the header, click your username, and then click Profile. The Profile widget appears.

    2. Under Notifications, expand Subscriptions.

    3. Toward the right of the widget, click |mi-more_horiz| and select the Notifications widget.

    4. Expand Subscriptions.

    5. Click |mi-add_circle_outline|. Select Shared Subscription.

    From a role

    1. From the Navigation Menu, expand Admin, and select Users & Roles.

    2. Select the role for which you want to configure a shared subscription. (Other users and roles can use this subscription, not just the one for which you are configuring it.)

    3. Toward the right of the widget, click |mi-more_horiz| and select the Notifications widget.

    4. Under Automatic Subscriptions, click |mi-add_circle_outline|. The Automatic widget appears.

    5. From the Subscription list, select Shared Subscription.

    From Sites & Settings

    1. From the Navigation Menu, expand Admin, and select Sites & Settings.

    2. In the Sites widget, select Global. The Edit Global widget appears.

    3. Under Main, expand Notifications.

    4. Under Automatic User Subscriptions, click |mi-add_circle_outline|. The Automatic User Subscription widget appears.

    5. From the Subscription list, select Shared Subscription.

  2. In the Subscription field, click |mi-search|. The content picker appears.

  3. Under Create, select the topic for the subscription, and then click New. A content edit form appears.

  4. In the Name field, type a name for the subscription. As a best practice, use a name that provides a cue about the subscription's content filters.

  5. From the Delivery Options list, select the delivery option. (Editors using this shared subscription can apply their preferred delivery option. For details, see Reviewing, overriding, and opting out of automatic subscriptions.)

  6. Under Content Filters, click |mi-add_circle_outline|, and select one of the following:

    • Match All—Sends notifications for events that satisfy several conditions.

    • Sites & Types—Sends notifications for events that involve specific sites and content types. For details, see Subscribing to the publication topic.

    • Watching—Sends notifications for events associated with content that you (or the editor using the shared filter) is watching.

  7. (For Match All or Sites & Types only) Design content filters for the shared subscription. For details, see Conditions for sending notifications.

  8. Click Save. Creation of a shared subscription is complete, and other editors can now use it.

  9. Click Back at the top of the content edit form to return to the content picker.

  10. Click the shared subscription you created, and close the content picker. You return to your profile.

  11. Click Save.
